EPFO Passbook: How to Check and Download Your PF Passbook

Your EPFO passbook is the month-by-month record of your provident fund account — every rupee you and your employer have deposited, plus the interest credited each year. You can view and download it free at passbook.epfindia.gov.in, provided your UAN is activated. This guide walks through the activation prerequisite, the download steps, all four ways to check your PF balance, and how to read each column of the passbook once you have it.

What the EPF Passbook Is

The EPF passbook is an electronic statement issued by the Employees’ Provident Fund Organisation (EPFO). It works like a bank passbook. Each row is one transaction: a monthly contribution, an interest credit, a withdrawal, or a transfer from an old account.

The passbook is maintained per member ID. If you have changed jobs, you will see a separate passbook for each employer under the same UAN (Universal Account Number). Together, they show your complete PF history.

You need the passbook for three common reasons: to confirm your employer is actually depositing your PF, to check your balance before a withdrawal or advance, and to keep a record when you switch jobs or transfer old accounts.

Prerequisite: An Activated UAN

The passbook portal does not have its own registration. It runs on your UAN login, so activate the UAN first if you have not already.

  1. Get your UAN from your employer or your salary slip. It is a 12-digit number.
  2. Go to the Member e-SEWA portal.
  3. Click Activate UAN under “Important Links”.
  4. Enter your UAN, name, date of birth, and Aadhaar-linked mobile number.
  5. Verify the OTP sent to your mobile and set a password.

Your mobile number must be the one linked to Aadhaar, and your basic KYC (Aadhaar, PAN, bank account) should be seeded against the UAN by your employer. Once the UAN is active, the same login works on the passbook portal, the Member e-SEWA portal, and the UMANG app.

How to View and Download the Passbook

  1. Open passbook.epfindia.gov.in. You land on the “EPF Passbook & Claim Status” login page.
  2. Enter your 12-digit UAN, your password, and the captcha code.
  3. Sign in. The portal lists all member IDs linked to your UAN.
  4. Select the member ID for the employer whose record you want. Your current job is usually the latest ID.
  5. The passbook opens on screen, listing contributions month by month.
  6. Use the Download Passbook option to save it as a PDF. Print it if you need a paper copy.

The PDF is system-generated and does not need a signature or stamp. It is accepted as a statement of your PF account for loans, visa paperwork, and personal records.

One caveat: if your employer runs its own exempted PF trust, your money sits with the trust, not with EPFO, so the portal will not show a passbook for that account. Exempted trusts are required to inform members of contributions and interest through their own statements, SMS, or e-passbooks, per EPFO’s rules for exempted establishments. Ask your HR or trust office for your statement in that case.

Four Ways to Check Your PF Balance

The passbook portal gives the full statement, but you do not always need the full statement. EPFO offers four channels, and all of them are free. All four require an activated UAN.

1. The passbook portal

The method described above. This is the only channel that shows the complete transaction history, so use it when you want details, not just the closing balance.

2. The UMANG app

UMANG is the government’s umbrella app for citizen services, and EPFO is one of its most-used departments. Open UMANG (or web.umang.gov.in), search for EPFO, choose View Passbook, and log in with your UAN and OTP. You get the same passbook on your phone. 3. SMS

Send an SMS from the mobile number registered with your UAN:

EPFO replies with your last contribution and balance, along with the KYC details available against your UAN. The default reply is in English. For another language, add the first three letters of the language after UAN — for example, EPFOHO UAN HIN for Hindi or EPFOHO UAN TAM for Tamil. Ten languages are supported: English, Hindi, Punjabi, Gujarati, Marathi, Kannada, Telugu, Tamil, Malayalam, and Bengali, per EPFO’s short code SMS service note (verified July 2026).

4. Missed call

Give a missed call to 9966044425 from your registered mobile number. The call disconnects on its own after two rings, costs nothing, and EPFO sends your last contribution and PF balance by SMS. Per EPFO’s missed call facility note, two conditions apply: your mobile number must be activated with your UAN, and at least one KYC — bank account, Aadhaar, or PAN — must be seeded against the UAN.

How to Read the Passbook Entries

The passbook can look dense at first. Here is what each part means.

  • Employee share. Your own contribution — 12% of your basic pay plus dearness allowance — deducted from salary every month. All of it goes into your EPF account.
  • Employer share. Your employer also contributes 12%, but it is split. As per EPFO’s contribution rate sheet, 8.33% of pay (on a wage ceiling of ₹15,000) goes to the Employees’ Pension Scheme, and the remaining 3.67% goes into your EPF. This is why the employer’s EPF column is smaller than yours — the difference is funding your pension.
  • Pension contribution. The EPS amount appears in its own column. Note that EPS is a pension pool: it does not earn interest the way EPF does, and its balance is not paid out as a lump sum in the normal course.
  • Interest credits. Interest is calculated monthly but credited once a year, after the government approves the rate for that financial year. It appears as a single “Int. Updated” row. If the current year’s interest has not appeared yet, the rate is usually still awaiting approval — the credit, when it comes, is applied with effect from the due date, so you lose nothing.
  • Transfer-in entries. When you move an old account to a new employer, the transferred amount appears as a lump-sum credit in the new member ID’s passbook.

A quick health check: multiply your monthly employee-share deduction by the months worked and compare it against the passbook. If deposits stop appearing for months while your salary slips show deductions, raise it with your employer first, then file a grievance on EPFO’s portal.

Troubleshooting

  • Passbook shows “not available”. New UAN activations take a little time to reflect on the passbook portal. Try again after a few hours. If it persists, confirm with HR whether your establishment is an exempted trust.
  • Login fails. The passbook portal uses the same UAN and password as Member e-SEWA. Reset the password on the Member e-SEWA portal using Forgot Password, then log in again.
  • SMS or missed call gives no reply. Almost always a registration issue: the mobile number you are using is not the one activated with the UAN, or no KYC is seeded. Fix both on Member e-SEWA.
  • Contributions missing for recent months. Employers file returns with a lag, and EPFO posts them after processing. A one-to-two-month delay is normal. A six-month gap is not — take it up with your employer.
  • Two passbooks, two balances. Old member IDs stay visible until you transfer them. File a transfer claim (“One Member – One EPF Account”) on Member e-SEWA to merge old balances into the current account.

Like most government services, EPFO’s channels work best when your Aadhaar, mobile, and bank details are consistent everywhere — the same discipline that helps with any of the government schemes you may use.

Frequently Asked Questions

Is the EPFO passbook free to download?

Yes. Viewing and downloading the passbook at passbook.epfindia.gov.in is completely free, and so are the SMS and missed-call balance services. EPFO never charges for balance information, and it never asks for your password or OTP — treat any such call or message as fraud.

Can I check my PF balance without registering on the portal?

No. All four channels — portal, UMANG, SMS, and missed call — require an activated UAN. Activation is a one-time step on the Member e-SEWA portal and takes only a few minutes with an Aadhaar-linked mobile number.

Why is my employer’s share smaller than mine in the passbook?

Both of you contribute 12%, but 8.33% of the employer’s share (on wages up to ₹15,000) is diverted to the Employees’ Pension Scheme. Only the remaining 3.67% lands in the EPF column. Your full 12% goes to EPF, so your column is larger. The pension amount is shown separately.

Why does my passbook not show this year’s interest?

Interest is credited once a year, after the rate for that financial year is officially approved. Until then the passbook shows contributions only. The credit is applied retrospectively, so a late entry does not reduce what you earn.

I changed jobs. Why do I see more than one passbook?

Each employer creates a separate member ID under your UAN, and each member ID has its own passbook. To consolidate, file an online transfer claim on the Member e-SEWA portal. After the transfer, the old balance appears as a credit entry in your current passbook.

The SMS and missed-call services are not responding. What should I check?

Send the SMS or missed call only from the mobile number activated with your UAN. Also confirm that at least one KYC — Aadhaar, PAN, or bank account — is approved against your UAN on Member e-SEWA. These two gaps cause nearly all failures.

Is the downloaded passbook PDF valid as an official statement?

Yes. The passbook is a system-generated EPFO record and is accepted for loan applications, visa files, and account verification without any signature or attestation.
